A modern back-office system supporting leaders in the hairdressing industry

Provalliance is one of the largest hairdressing groups in Europe, uniting brands such as Jean Louis David and Franck Provost. Our task was to design an advanced salon management tool that integrates online bookings with dynamic in-salon operations, providing employees with full control over their schedules.

What challenges and needs were
identified at the beginning of the work?

Creating a flexible booking and break system (both one-time and recurring) that automatically synchronizes online availability with the real schedule in the salon.

Designing an agenda view that allows for simultaneous management of multiple employees and services without the risk of errors in the fast-paced salon environment.

Building a robust Design System that enables easy implementation of new functionalities and customization of the interface to meet the specific needs of different brands within the group.

What was the process like?

We opted for a participatory model. The key to success was understanding the dynamics of work in salons of brands like Jean Louis David and Franck Provost.

Our methodology focused on rapid prototyping and real-time validation of assumptions. By directly involving the client in the design process from day one, we were able to quickly map business processes into intuitive solutions.

1# DISCOVERY AND WORKSHOPS

We started the process with workshops with the client. We created the first sketches and outlined the logic of the calendar live, which allowed us to quickly verify key business processes.

2# UX DESIGN

We focused on the information architecture of the complex calendar view. The priority was intuitive handling of bookings, managing breaks, and quick access to visit change history.

3# UI Design

Based on the wireframes, we created a clear interface with subtle color coding for services. This increased the readability of the calendar and the speed of visual data scanning.

4# Design System

We prepared a comprehensive library of components. This ensured visual consistency and significantly sped up the developers’ work in implementing additional modules.

The calendar has become an intuitive operational hub. The clear division between employees and the timeline has eliminated planning errors and chaos in “walk-in” reservations.

ENHANCED EFFICIENCY

We have reduced the time needed to add a new appointment and configure breaks. The system supports employees in their daily tasks rather than being a technological barrier.

FULL DATA TRANSPARENCY

With the detailed view and change history, managers have full control over what is happening in the salon, from payment status to client activity history.

SCALABILITY READY

The implemented Design System and modular interface structure allow for the addition of new salons and services, supporting the dynamic growth of the entire Provalliance group.
